How to Write an Apology Letter

A letter is the right format when the conversation keeps going in circles, when you say the wrong thing under pressure, or when what you did needs more than a paragraph. It is the wrong format if you are using it to avoid a conversation you owe someone โ€” a letter should open the discussion, not replace it.

The five parts, in order

Order matters enormously here. Put your explanation before your acknowledgement and the whole thing reads as a defence brief no matter how sincere you were.

  • 1. What you did โ€” named specifically, in plain language, with no softening.
  • 2. What it cost them โ€” your understanding of how it actually landed for them.
  • 3. Ownership โ€” no โ€œbutโ€, no context, no explanation. This section is the shortest and the most important.
  • 4. What changes โ€” concrete and checkable, not โ€œI will try harderโ€.
  • 5. What you are asking for โ€” usually just their time, not forgiveness.

Worked example: to a partner

โ€œI told your sister about the job thing after you had asked me twice not to tell anyone. I want to be clear that I know exactly what I did and that you had asked me directly.

I think what it cost you is trust in whether things you tell me stay with me โ€” and it happened right when you were already dealing with a lot. I have watched you be careful with what you say to me since, and I hate that I caused it.

There is no reason for it that is worth writing down. I was not thinking about you when I said it, and that is the whole of it.

What I am doing differently: I do not talk about anything you have told me, to anyone, including my family, unless you have said it is fine. If I am unsure, I ask you first.

I am not asking you to be okay with this yet. I would just like to talk about it when you are ready.โ€

Worked example: to a friend

โ€œI disappeared for four months while you were going through the worst of it. I know you called twice and I did not call back.

You needed people and I was not one of them, and I think it confirmed something you already worry about โ€” that people leave when things get hard. I am sorry.

I could tell you what was happening in my life at the time, but you did not ask me to be perfect, only present, and I was not.

I am not going to promise I will be a different person. What I will do is answer the phone, and if I cannot, tell you when I can.โ€

Worked example: to a parent

โ€œI said something at dinner that I have thought about every day since. It was cruel, and I said it because I knew it would land.

You have never once thrown anything like that back at me, which somehow makes it worse. I am sorry.

I am not going to explain what I was upset about, because it does not justify what I said. When something is bothering me I will bring it up properly instead of storing it.โ€

What ruins an apology letter

  • Explaining before acknowledging. Everything after your explanation reads as excuse.
  • The word โ€œbutโ€, anywhere.
  • โ€œI am sorry ifโ€ฆโ€ or โ€œI am sorry you feltโ€ฆโ€ โ€” both apologise for their reaction.
  • Listing your own suffering. Your guilt is not their problem to hold.
  • Asking for forgiveness at the end. It converts the letter into a request.
  • Length. Past a page it starts to feel like a case being built.

Practical notes

  • Write it, then leave it overnight. Every self-justifying line will be obvious in the morning.
  • Read it aloud. If any sentence sounds like a lawyer, cut it.
  • Handwrite it if you can โ€” the effort is legible.
  • Do not send it during an argument. Wait for a flat moment.

If you want them to actually read it

A long message in a chat thread often gets skimmed while someone is still angry. An interactive sorry card paces it differently โ€” the letter arrives one section at a time, so each part gets read rather than scrolled past, and you can attach a voice note. The structure above still applies; it just gives it somewhere to land.
